Faith Works Project Approval:

 

A request, received by Faith Works that meets the requirements outlined in the mission, is classified as a small, large or a major project before being approved as an accepted project.  Below is the process for a request to be approved as a project and the approval of financial expenditures:

 

Small Project – The estimated expenditures are less than $1,000 and the project is expected to be completed in a short time frame (one or few visits).  If a Faith Works member who is an approved project leader, volunteers to lead the project he/she can approve the project, organize the resources to complete the project and approve total expenditures on the project up to $1,000.

Large Project – The estimated total expenditures for the project are $1,000 to $20,000 and the project is expected be completed in multiple visits.  If a Faith Works member who is an approved project leader, volunteers to lead the project he/she must estimate the total projected expenditures for the project and receive approval from 3 officers/board members (not to include the project leader) for the project to be approved.  The project leader has the responsibility to organize the resources to complete the project and approval for expenditures of $1,000 or less.  For expenditures over $1,000 the project leader must make a recommendation and receive approval from 3 officers/board members (not to include the project leader) to approve the expense.

   

Major Project – The estimated total expenditures for the project are $20,000 or more and the project is expected be completed in multiple visits and/or weeks/months.  If a Faith Works member who is an approved project leader volunteers to lead the project he/she must estimate the total projected expenditures for the project and receive approval from the Board of Directors for the project to be approved.  The project leader has the responsibility to organize the resources to complete the project and approval for expenditures of $1,000 or less.  For expenditures over $1,000 the project leader must make a recommendation and receive approval from 3 officers/board members (not to include the project leader) to approve the expense as long as total expenditures on the project are below the approved project estimate.  Once total expenditures reach the approved project estimate, all future expenditures must be approved by the Board of Directors.     

 

Projects Requiring a Licensed, Insured Contractor – If a Faith Works member who is an approved project leader, volunteers to lead the project and he/she determines Faith Works does not have the expertise or resources to complete the project, he/she must make a recommendation for the outside resource required with the estimated expenditure and receive approval from 3 officers/board members (not to include the project leader) to approve the project and hire the licensed, insured contractor.  

 

NOTE: At all times one of the responsibilities of the Faith Works Treasurer is to maintain the financial records of Faith Works.  At any time there are insufficient funds in the Faith Works general fund to cover the costs of an approved project, the Treasurer will inform the Board of Directors and all projects (small, large & major) will be suspended.  All projects and expenditures must be approved by the Board of Director when there are insufficient funds in the general fund to cover the cost estimates for projects.
